Role: Partnerships Associate
Employee Status: Full-time, Non-Exempt (30 hours per week)
Location: Remote
Compensation: $33/Hour

Work Schedule: Flexible hours between 10 AM – 6 PM Eastern Standard Time, Monday – Friday, to be agreed upon with supervisor.

Position Summary
The Partnerships Associate provides administrative, programmatic, and operational support to the Play On Shakespeare’s Partnerships team. This role involves assisting in the implementation and monitoring of Partnership funding, developing systems for and tracking the progress of the organization’s grantmaking and residency activities, and supporting the administration of funding and events of the company’s Partnerships department. The Partnership Associate will collaborate with internal teams, grantees, and external stakeholders to ensure the effective execution of the company’s funding goals, while ensuring proper tracking and documentation of funded project milestones and agreements.
Key Responsibilities
Grant Management
- Assist with development of the grant application process, including tracking submissions, reviewing proposals, and ensuring compliance with guidelines
- Communicate with applicants and potential partners to address inquiries and provide support as needed
- Communicate with funded organizations and projects, and manage communications and scheduling with grantees for the Partnerships team
- Manage the process of confirming grantees, project managing the collection of grantee paperwork, marketing requests, and other documentation of partnerships as necessary, as well as notifying grantees and scheduling necessary notification conversations for the Partnerships team
- File, process, and manage agreements with funded projects, ensuring all contracts, amendments, and related documents are properly executed and archived
- Monitor grant reporting requirements and maintain accurate records in the company’s database
- Conduct research on potential grantees and partners to provide to the Partnerships team for cultivation and/or the Marketing team for campaigns support the department’s projects
- Prepare summaries and reports of current grantmaking and commissions for department tracking, communicating with company stakeholders, and tracking progress towards and informing future department funding goals
Administrative and Program Support
- Coordinate and maintain a detailed calendar of projects, updating team members and scheduling check-ins and site-visits as appropriate
- Administrative support to Director of Partnerships in the form of scheduling meetings with partner organizations and internal communications regarding scheduling
- Act as a liaison between the company and grantees, partners, and staff members, maintaining the department’s calendar and timelines
- Support the Partnerships team in the tracking of commissions and residency applicants, creating systems as necessary and maintaining accurate records of applicants and program participants
- Support the Research & Practice department and Director of Partnerships in the fulfillment of perusal scripts for the organization and potential partners
- Scheduling vendors, travel, and hospitality as necessary for department projects, events, and residencies
- Support budget tracking and preparation of financial reports for the Partnerships team
- Work closely with internal teams to align program activities with organizational priorities
- Assist in drafting communications, memos, and other materials
- Represent the foundation at meetings, conferences, and events as needed
Core Competencies and Traits
Experience
2-4 years of experience in program management, grantmaking, nonprofit, administrative, or foundation work preferred.
Skills
- Strong organizational and project management skills with attention to detail.
- Excellent written and verbal communication skills.
- Ability to analyze data and synthesize information into actionable insights.
- Proficiency in Google Suite, DocuSign, Airtable, and Monday.com, or other applicable database management and collaboration tools preferred.
- Ability to track production schedules and manage compliance with contract terms.

INTERVIEW PROCESS TIMELINE
Interviewees will be compensated for their time spent meeting with Play On Shakespeare. For all interviews, interviewees will receive $68 – equivalent to one full day at the federal per diem rate for Ashland, OR. Candidates invited to an in-person interview will have their travel and housing provided, per diem for meals and essentials provided, and will be compensated for their time.
The aspirational timeline is as follows:

April 8 - First interviews
April 22 - Second interviews, potentially in-person: location to be determined
